Client Stories
Whether we’re brought in to fix a project that’s off track or to set it up right from the beginning, our focus is the same: make complex systems, data, and teams work better. These client stories show how we help organizations cut through noise, align around what matters, and build solutions that last—whether we’re leading the work or embedded as a trusted guide.
Supporting High-Impact NIH Research
Client: RTI International
Projects: NIH Down Syndrome Cohort Development Program (DS-CDP) & Nutrition for Precision Health (NPH), powered by the All of Us Research Program
Kayvea LLC is embedded within RTI International teams to support the delivery of large, multi-site research programs focused on advancing clinical science and population health. Our role spans systems strategy, vendor coordination, and operational design—ensuring that complex research infrastructure is not only compliant, but usable and aligned with real-world workflows.
For the NIH’s DS-CDP and NPH initiatives, Kayvea led:
Coordination between RTI and external tech/data vendors
User-centered systems design and technical business analysis
Data governance strategies to support high-quality, AI-ready data
Integration support for clinical, behavioral, and biospecimen data streams
In addition to delivery support, Kayvea founder Kate Burdekin co-hosted a panel on clinical data management and led discussions on using AI in research operations—demonstrating a forward-looking approach to clinical data strategy.
Outcome:
By embedding directly in the project teams, Kayvea helped strengthen cross-functional alignment, improve vendor accountability, and design systems capable of delivering the high-quality data needed to answer complex questions—particularly around nutrition, precision health, and Down Syndrome.
Enabling Enterprise Adoption of Subsalt
Client: Subsalt Inc
Project: Enterprise Implementation & Operational Readiness Support
Context: Subsalt provides a powerful privacy-preserving data-sharing platform. As one of their clients prepared for a broad rollout across multiple user groups and use cases, they needed support translating Subsalt’s system-level capabilities into clear, organization-specific workflows, documentation, and readiness plans. This work wasn’t about modifying Subsalt — it was about helping the client fully operationalize the platform.
Kayvea’s Role: Kayvea partnered with Subsalt to ensure their client could adopt the system smoothly and confidently. Our role focused on:
Mapping Subsalt’s core features to the client’s specific user groups, permissions, and workflows
Creating clear operational documentation and governance guidelines tailored to the client’s environment
Supporting readiness across teams so the system would meet all intended use cases on day one
Translating technical capabilities into actionable processes for non-technical stakeholders
Impact: The collaboration ensures Subsalt’s client was fully prepared to use the platform effectively across all users and scenarios. This work:
Accelerated client onboarding and adoption
Increased clarity, consistency, and scalability of workflows
Demonstrated Subsalt’s strength in complex, multi-stakeholder environments
Reinforced Subsalt’s value by helping the client realize the full potential of the system
Why It Matters
Subsalt delivers robust, flexible technology. Kayvea’s role was to bridge the gap between system capabilities and real-world implementation, ensuring the client could make the system their own — efficiently, confidently, and at scale.
Global Research Organization — Data Strategy Implementation Readiness
Client: A Large Global Research Organization and a Technology Consulting firm
Project: Evaluation of Data Strategy for Implementation Readiness
Context: A major global research organization was preparing to advance a new enterprise data strategy designed to modernize analytics, governance, and cross-program collaboration. These groups partnered with Kayvea to ensure the strategy was not only well-constructed on paper, but also practical, adoptable, and aligned with how research organizations function in the real world based on practical experience.
Kayvea’s Role: Kayvea was brought in to evaluate the organization’s data strategy through the lens of implementation practicality, leveraging deep firsthand experience leading data initiatives within complex research and public health environments. Our work focused on:
Assessing where the strategy aligned—or misaligned—with real-world workflows, cultural norms, and operational constraints
Highlighting gaps that could hinder adoption and offering feasible, organization-appropriate solutions
Bringing a practitioner's perspective to ensure the strategy would hold up once teams began executing it
Impact: Kayvea’s evaluation strengthened the organization’s ability to move from strategic vision to execution with confidence. The work:
Ensured the strategy reflected how research organizations actually operate—not idealized assumptions
Increased clarity across stakeholder groups by articulating what the strategy really meant for day-to-day work
Reduced implementation risk by surfacing operational challenges early, before rollout
Why It Matters
Research organizations face unique cultural, regulatory, and operational complexities. Kayvea brought real-world experience and an implementation-first perspective to ensure the strategy could succeed where it counts: in practice. By strengthening the bridge between strategic intent and operational reality, Kayvea helped position the organization for a smoother, more sustainable implementation phase.
